Holiday Villa Booking Conditions

1st For Orlando Vacations Booking Conditions

Contract: The following booking conditions form the sole contract with 1st For Orlando Vacations. Please read them carefully as by making a reservation with 1st For Orlando Vacations either online, by telephone, in person or by any other method you are agreeing to the following booking conditions and cancellation policy.

Deposit: A deposit of $200 is required when booking your vacation home. Once we have received your reservation details and the booking deposit your booking will be confirmed. Until you have received a booking confirmation you do not have a reservation with us. The booking deposit is non-refundable in the event of your cancellation. The balance of the rental cost will be required 60 days prior to your rental period commencing. Bookings made within 60 days of your vacation commencing require the full amount to be paid when the reservation is made. Payment can be made by check or bankers draft in US Dollars. We can also accept credit card payments (Visa, MasterCard and Discover) and payments via PayPal.

Booking Fee: All bookings are subject to a $40 administration fee. This is payable at the time the balance becomes due.

Damage Deposit: When renting a property you are expected to ensure that your party members act responsibly and respect the property and it's contents. However we recognize that accidents can and do happen so we charge a non-refundable Accidental Damage Waiver (ADW) fee to every reservation. This covers the party leader against accidental damage up to the value of $250. All accidental damage must be reported to 1st For Orlando Vacations as soon as it occurs so that we can make the appropriate arrangements with the local management company to repair/replace the item concerned. Please note that this only covers genuine accidents and only damages that are reported to 1st For Orlando Vacations will be covered by the ADW. Any malicious or willfull damage or acts of theft will be the responsibility of the party leader and the credit card on file will be passed to the local property manager for them to charge the cost of repair. In addition the local property manager may choose to report all acts of theft or malicious damage to the authorities.

Cancellation Policy: Should a cancellation be necessary after you have made your reservation with us then your booking deposit of $200 will be lost. This applies whatever the reason for cancellation. If you cancel your reservation after the balance has been paid then the following cancellation charges will apply:

Cancellation within 60 days of vacation commencing: Deposit plus 25% of the balance paid.

Cancellation within 45 days of vacation commencing: Deposit plus 50% of the balance paid.

Cancellation within 30 days of vacation commencing: Deposit plus 75% of the balance paid.

Cancellation within 15 days of vacation commencing: Deposit plus 100% of the balance paid.

We strongly advise you to take out some form of travel/trip insurance as soon as your booking is confirmed - this should cover any cancellations for reasons beyond your control. If a client does not pay the balance when it becomes due then we reserve the right to cancel the booking and retain the deposit.

Occupancy: Your vacation home will be ready for occupancy from 4:00pm on the day of arrival and needs to be vacated promptly by 10:00am on the day of departure. If you have a late flight you should consider reserving the home for an extra night or pre-arranging a late check out if possible (this may be subject to an additional charge). Each vacation home has it's own webpage and this clearly states the maximum number of guests that the home will accommodate. This number will also be stated on your booking confirmation. Over-occupancy of our vacation homes will not be permitted and this will be enforced where necessary by the local property manager.

Replacement Homes: We will make every reasonable effort to provide the exact vacation home stated in our reservation confirmation. However if a situation arises that causes a vacation home to become unserviceable or unavailable then we will try to provide a replacement home of at least an equal standard. Should this situation arise the client will always be offered the option of cancelling their reservation with a full refund of all monies paid. If a situation arises during your stay that causes the home to be uninhabitable then we will endeavor to provide a suitable alternative or give the guest the option of checking out early and receiving a pro-rated refund based on the number of days remaining on the reservation.

Conduct: Your vacation home will be located on a nice residential estate where your neighbors maybe Florida residents. We ask that you act in a considerate and courteous manner to your neighbors. We expect you to have fun but we also request that noise be kept to a minimum during early mornings and late evenings, particularly around the patio and pool. Have fun, but respect your neighbors and the property. No pay per view services are included in your rental contract. Any pay per view charges incurred during the guests stay will be charged for in full to the credit card on file.

Pools & Pool Heating: Please note that the swimming pool is a free facility included along with the pool home you are renting. Most pools have a pool heater that can be switched on at an extra cost, this also services the spa if applicable (the spa will NOT get warm unless you order pool heating). We are happy to arrange this for you should you require it. In ocassional severe winter conditions is it possible that the pool heater may not be able to maintain the water at a temperature of 80 degrees - this does NOT constitute a malfunction. ANY issues with the pool heating should be directed to the local management company whilst you are in attendance at the villa so that they can deal with your concerns. Your villa may be fitted with an alarm on doors leading to the pool - this is for the safety of you and your guests, especially young children. If you are unsure how to operate these alarms please read the instruction manual in the villa or call the local property manager.

Maintenance: All our rental homes are maintained by local management companies. All breakages, accidents, problems and losses must be reported to the local management as soon as they occur so that they can be attended to. As with any home appliances will, from time to time, malfunction and may need repair - the local management company will use their best endeavours to have any problem rectified as quickly as possible. Repair times may be dependent on third parties such as utility companies. Access to the rental home may be required by authorised maintenance personnel during your stay. Neither 1st For Orlando Vacations nor the local property manager will be liable for interuptions in services such as electricty and water nor for any consequences caused by such interuptions. No compensation will be given for faulty recording or playback equipment, TV's, audio equipment, cable reception, telephone malfunction, computer equipment or internet access problems.

Passports and Visas: Each client is personally responsible for ensuring that they have the necessary documentation to enter the United States and for their own travel arrangements to the vacation home.

Privacy: 1st For Orlando Vacations will use any data provided by you only in respect of your reservation. It will be treated as confidential and not passed onto any un-necessary third parties.

Force Majeur: 1st For Orlando Vacations will not be liable for problems or delays caused by strikes, riots, political unrest, hostilities, war, terrorist activity, industrial disputes, fire, flood, tornadoes, hurricanes, transportation problems, airport closures, weather conditions or any other event beyond our immediate control. We suggest that you take out adequate travel/trip insurance to cover such eventualities.

Insurance: There are many companies in existence that offer trip insurance and if you want to protect your deposit and balance in the event of cancellation then we urge you to use the services they offer to cover yourself from unforeseen circumstances. You can insure against delays, cancellation, accidents, ill health and theft or loss of possessions. 1st For Orlando Vacations is not an insurance company but we do urge you to use one if you require peace of mind against loss of deposits and balances paid.

Liability: In the event of any problems whatsoever the total liability of 1st for Orlando Vacations will be limited to the rental amount paid by the client.

Vacation Home Details: The details and photographs we display on our web site are provided to us by the home owner or property manager. We try to ensure that these are up to date and accurate but they should be used as a guide only - we cannot guarantee 100% accuracy. Owners are free to change decor and furnishings in their villas as they see fit. All properties are supplied on a self catering basis. The vacation home will be furnished with linens and towels and a starter supply of toilet paper and bathroom soap. Replenishment of these supplies and provision of other supplies including, but not limited to, dishwasher soap, paper towels ,washing powder, trash bags etc is the responsibility of the guest.

Pets: Pets are not permitted in any of our vacation homes unless you have prior written consent from 1st For Orlando Vacations. This is primarily out of consideration for future guests who may suffer from allergies or other pet related illnesses. If pets are found in the home then the property manager or their representative has the right to have them removed from the property and the guests may be required to vacate the property with no refund of rental monies.

Smoking: Smoking indoors is not permitted in any of our homes. Smoking is allowed in the garden, patio and pool areas. All vacation homes are fitted with smoke detectors which will activate if guests attempt to smoke anywhere in the home. Guests found smoking inside the home will be required to pay for additional cleaning and deordorizing and will be asked to vacate the property with no refund of rental monies.

Check Out: Check out is at 10am PROMPT. Late check out without prior arrangement will result in an extra charge to your credit card as determined by the local property manager. The vacation home instruction manual will detail what you are requested to do when checking out. This usually means taking out the trash, loading and starting the dishwasher and loading and starting the wash cycle for the towels used. If you are unclear of your responsibilites call the property manager for clarification.

BBQ's: Some villa owners refuse to allow BBQ's in their homes because of the mess they can make. Those that do allow BBQ's do so subject to them being used in accordance with Florida State Law. Read the instruction manual in the home or information notices for details. PLEASE NOTE: cleaning the BBQ is NOT the responsibility of the local property manager and neither is filling up the gas tank. We ask that all guests use the BBQ with consideration for others and clean it after use. This includes any greasy mess that you make on the pool deck. If the gas tank empties during your stay please take it to get it refilled - call the local property manager to find out where the nearest tank stockist is.

Locating your home: Once you have paid for your vacation home in full you will receive, by email, the address of your villa, driving directions and access codes/key collection instructions. Please do NOT travel without this information as you will not be able to locate your rental property. If you do not receive this information please contact us at least 72 hours prior to your journey commencing.

Parking & Vehicles: Most of our homes have parking for one or two vehicles. Some homes have garages but these are not always accessible - especially if the homeowner has installed games equipment in the garage. PLEASE NOTE that most homes are on subdivisions that have an active Homeowners Association in place. Homeowners Associations very rarely allow overnight parking of Commercial Vehicles, RV's, Boats, Campervans, Trailers or any kind of oversize vehicles. Many also prohibit on-street parking - if you intend bringing any of these kinds of vehicles then you need to make your own parking arrangements. If you have any questions in this respect please check with one of our booking agents and they will advise.

General Points: Swimming pools are great fun and few people would choose a holiday home without one. However they are an obvious source of DANGER especially for young children. We cannot accept any liability whatsoever for any injury caused as a result of using the swimming pool in any vacation home or resort. You are particularly advised NEVER to allow children to use the pool unsupervised.

All our homes are fitted with Air Conditioners and these can usually be adjusted to your personal comfort level. If you adjust the thermostat to a temperature level that causes the AC unit to freeze up then you will be responsible for the cost of any service personnel required to repair the system and clean up the mess. If you think the AC is not working properly then call the local manager for assistance.

Do not tamper with pool heating boxes. Guests who help themselves to pool heating that has not been ordered will be charged by the local property manager for the cost of this and any damage done to the pool heating box and/or equipment.

You will be expected to place your garbage in the proper collection bins and place the bins out for collection on the appropriate day. Any fines incurred because of bins being out on the wrong day will be your responsibility and the charge will be passed on to you. There will be a charge made to guests leaving behind excessive garbage at the end of their stay.

Please do not place anything other than toilet paper in the toilet bowls. Plungers are provided but if a plumber is needed then the guest will be responsible for the cost incurred.

Keep your key in the lock box. Guests are responsible for the cost of replacing lost or stolen keys and lost lock box tops. If you lock yourself out of the home and need assistance to re-enter the property then the cost of this, along with the cost of replacing any locks, will be the guests responsibility.

Please clean up spills on carpets and floors immediately - spills are much easier to deal with if they are mopped up at the time they happen. Also please do not sit on the furniture or lay on the beds if you are covered in sun tan oil - this will stain.
